Requesting digitization through the system
McFile integrates digital document management with physical archives, allowing the conversion of paper files into digital format in an organized manner. Through the digitization request workflow, users can request that specific items be processed by the archive team, ensuring fast access to information.
Digitization Request
The digitization request is initiated directly through the search tool, where items are identified and forwarded to the request workflow.
1. Locate the desired items using McFile's search.
2. Check the selection box next to the item you wish to digitize.
3. Click the Request button.

4. In the workflow form, verify the automatically filled information and adjust the Request Type field to the "Digitization" option.
5. Confirm the submission by clicking Request, located in the top right corner of the page
If the demand is high priority, change the Urgency field to "Yes".
As soon as the request is sent, system managers receive an alert with a link to the workflow, where they can validate the demand and proceed with the digitization process.
The request workflow can also be accessed directly through the navigation menu. To do this, go to Input (+) > Archive Tasks > Folder/Image Request.

Consulting Request History
McFile maintains a permanent record of all digitizations performed, facilitating audits.
To view previous requests, open the form for the desired box or folder. The detailed history with all requests linked to the item is listed in the quick access side menu, under the Loans option.
