| Search Patterns in the System |
- System searches do not differentiate between uppercase and lowercase letters, nor do they take into account accent marks or special characters, except for "/" (slash) which is considered during the search.
- The system displays only results that include all the words typed in the search field. In other words, there is no need to place "and" between terms.
|
| Advanced Searches in the System |
- In the system, you can filter your search to obtain only records that have attached files. To do this, simply click on Advanced Search and indicate whether it has an attachment or not.
- You can also specify which terms you want these files to contain in their content.
- It is also possible to determine in which restricted area the search should be performed.
|
| Searches by Specific Fields |
- Searches can also be performed using specific record fields. To do this, select the record type in the search bar and fill in the desired fields.
- It is possible to set values for more than one field in the same search.
- To view all fields for a record type, select the "More fields" option.
- The system allows the use of "!" (exclamation mark) in field searches to indicate that we are looking for records where a field is blank.
- You can also use comparison operators in numeric or date fields. Example: >15 <28.
|
| Blank Search Field |
- In a simple search, all indexed records in the table will be found.
- In an advanced search, leaving a field blank means not imposing search restrictions on that document field.
|
| Expression in Quotation Marks |
- Records containing the exact sequence of words specified within the quotes will be found.
|
| OR Searches |
- When using the "OR" expression between search terms, the system returns records that contain one term or the other. Example: control OR registration.
|
| Fuzzy Searches |
- The tilde ( ~ ) is a proximity character that allows you to search for words similar to the desired one or with possible typos. Example: Plebiscite~.
|
| Wildcard Searches |
- The asterisk ( * ) acts as a wildcard character, replacing letters or parts of a word. If we type "art*" during a search, the system will search for all words identical to or starting with "art". If we type "*art", it will search for words identical to or ending in "art". There is a limit of one asterisk per field in a search.
- The question mark ( ? ) is another wildcard character that always replaces a single character. If we perform an advanced date search and type "??/12/2000", the system will bring results that have dates between 01/12/2000 and 31/12/2000. There is a limit of a maximum of four question marks per field.
